What is Practice Management Software?

By Dean Shaw · On August 7, 2021

Practice Management Software or PM Software is a system that is designed to help industries such as medical, legal, and accounting offices run more efficiently. The program helps manage daily operations on many administrative tasks and financial functions.

How Is It Deployed?

This PM software is deployed in three modes, all equally effective depending on the need:

Desktop Only

The program is installed on a single computer and can be accessed only by a few people.

Client Server

The practitioner buys or rents a physical server and situates it within the building wherein multiple users may access it.

Internet Based

The users access the data via the internet, eliminating the need for an on-site server.

PM software mainly started as a program that helped healthcare professionals through the years. Subsequently, it found useful functions for other professions as well. Let’s look into how this program works for the following industries:

Medical Practice Management Software

Generally, PM software is installed in small and medium-sized medical offices. You could consider hiring medical record companies to help healthcare professionals streamline their day-to-day operations, organizing administrative tasks, simplifying the billing aspect, invoice issuance, and managing patients’ medical records. It performs the following specific tasks:

  • Encoding patient data into the system and tracking them
  • Schedule patient appointments
  • Manage Charge Capture
  • Process Billing
  • Processing and Submission of Insurance Claims
  • Generate reports

One example of the benefits of using PM software for practitioners is that they get to spend more time treating patients without dealing with a mountain of administrative tasks.

Accounting Practice Management Software

An accounting practice management software helps to take the burden off accountants by automating repetitive, low-value tasks—freeing up time to focus on higher-priority work. It also enhances the overall client experience, making accountants more accessible and responsive.

Some specific tasks (out of many) that are included in the accounting PM software include:

  • Tracking and recording timesheets, billable hours, and running live timers
  • Integrating important apps (mobile and otherwise) within the accounting infrastructure.
  • Easy integration with cloud and on-premises functionality
  • Processing client tax returns by using upload capability and CRM. Data is stored in the PM Software itself, making it easy to access.

Legal Practice Management Software

Legal Billing Software in law firms helps manage both the client and administrative side of the law office. It also helps ease the burden of day-to-day operations of the practitioner. Cases, documentation, scheduled tasks, billing are just a few of the processes it automates.

Although there has been some hesitancy among lawyers in going digital, recent developments have encouraged more and more law practitioners to utilize the benefits of PM software. Below are more examples of specific tasks that are assisted by the software to the benefit of the law office and its clients:

  • Focused management of cases through organized storage and updating of progress.
  • On-demand access to information wherever, whenever.
  • Effective and efficient contacts management for prompt servicing to clients
  • Automates billing tasks for hassle-free receipt of payments
  • Calendaring for easy scheduling of client meetings and other tasks
  • The ability to integrate with 3rd party accounting systems. (Example: QuickBooks online)
  • Better management of your team’s workload and productivity.

Wrapping Up

These are just a few of the myriad benefits that these professions will get from PM software. Doctors and lawyers will focus more on the cases at hand and enhance their capability to make the best decisions for their clients. In addition to that, accountants will also rise to higher advisory levels in terms of sorting out their clients’ accounting concerns.

All in all, practice management software is seemingly becoming the immediate future. It would then be wise to make the most out of it.
